Part 1: Delivering Unfavourable News
a) Write a short paragraph describing your purpose and audience analysis.
b) Study the scenario below and write a formal letter that delivers unfavourable
news. Use full-block styleand create aletterheadthat makes your document
look real (see the examples of full block style letters and letterhead on Moodle).
You may use one of the letterhead templates in MS Word or create your own. Either
way, make sure your letter is formatted correctly for the use of letterhead.
You might need to practice formatting so you can get only the FIRST PAGE of your
letter on letterhead. This can be done a few different ways. I suggest watching a YouTube video. The Writing Centre might also be able to help you with this.
*NOTE: Please include ALL parts of your assignment in ONE Word or RTF
document so I don’t have to open and save multiple documents per student. If
you want to create a page break, use CTRL + Enter.
Include:

the date
sender’s information (incorporated into the letterhead)
inside address (receiver’s information)
effective subject/reference line
appropriate salutation
goodwill closing
complimentary close
signature block: your name and job title

Scenario:

The Banff Springs Hotel has always strived to exceed guest expectations. During the
pandemic, the hotel undertook a two-year project to enhance customer experience by
refurbishing many rooms with new carpet, paint, upholstery, and draperies. Because
fabrics, upholstery and carpeting absorb odours, including cigarette smoke, the hotel
enforces a strict non-smoking policy for its non-smoking rooms. They also have some
smoking rooms for guests who wish to smoke in their room.
The hotelmakes sure that everyone knows about its policy regarding smoking in nonsmoking rooms by:

informing guests at check-in

providing them with a handout detailing the policy and the consequences for
smoking in non-smoking rooms, and

posting noticeson the inside of the door in each non-smoking room.
The handout and notice clearly states: “Should a guest disregard our non-smoking
policy, a fee of $200 will automatically be added to the guest’s account.”
On May 10, well-known journalist and social media influencer, Clark Kent was a guest in
the hotel. He stayed in a room clearly marked “Non-Smoking.” After he left, the room
cleaners reported that the room smelled of cigarettesmoke and that there were cigarette
butts in the waste basket and ashes on the carpet near the desk.
According to hotel policy, a charge of $200 was added to Mr. Kent’s credit card. The
next day, the hotel received an unpleasant email from Mr. Kent, demanding that the
$200 charge be removed. He doesn’t deny that he smoked in the room. He just thinks
that he should not have to pay because he’s a loyal customer.
As Manager of Guest Services for the hotel, please write a formal letter (on
letterhead)to Mr. Kent to deny his claim for reimbursement.
You would certainly like to see Mr. Kent return as a Banff Springs Hotel guest, but you
must adhere to the hotel’s non-smoking policy. Address your response to Clark S. Kent,

You registered for CMNS 1290 for the summer session and didn’t understand that the
workload would be the same in half the number of weeks. Not only that, but you’re
finding “blended learning” difficult because you’re not very self motivated. You signed up
for three summer classes and are now struggling to meet numerous competing
deadlines.
Write your CMNS 1290 instructor a persuasiveemail with the goal of convincing them to
eliminate one assignment or part of an assignment. This can be either the midterm,
mandatory forum posts, letter, email,oral presentation, or final report.
Choose whichever part of the course you think would be the most reasonable to
eliminate under the circumstances, but don’t base your decision on whether you
simply dislike certain assignments or find them too challenging.

Take a good look at the course outline to assess the expectations and learning
outcomes. Is there something that can be safely eliminated without affecting the
learning outcomes?
You need to understand the course expectations and learning outcomes in order to
explain (briefly) the rationale for your choice and anticipate my objections. Why might
I say “no,” and how do you think you could frame your argument so I might say “yes?”
It’s my job to deliver all the required course content and evaluate your proficiency in all
areas of the course so that all CMNS 1290 students at TRU receive equal and
consistent learning experiences whether they take the course in fall, winter, or summer.
Since this course also provides the foundation for subsequent communication courses,
eliminating some course componentscould negatively impact your success in future
courses, your program, or career.
Pay attention to reader benefits. What’s in it for me? Why should I comply with your
request? Hint: don’t say that grading fewer assignments will make my job easier and
that I’ll have more free time. It doesn’t work that way for instructors.
Make sure to ask me for exactly what you want me to do and suggest how you think I
should do it.
*You must use abulleted or numbered list for this assignment. You can use your list to
provide reasons for your request (but be careful, as this can sound like excuses), or
suggestions and alternatives.
**You can use information from any of the resources I posted on Moodle (PPTs, chapter
